How to Plan Event Transport in Dubai: A Checklist for Organisers

Whether you are an event agency, an executive assistant or a brand manager, transport is the part of an event guests notice only when it goes wrong. A late shuttle, a VIP waiting at the wrong entrance, a gala ending with 200 people looking for taxis. Here is the checklist we use to make sure it doesn't happen.

1. Start with the guest journey, not the vehicles

List every movement your guests will make: airport arrival, hotel to venue, venue to dinner, dinner back to the hotel, departure. For each one, note the number of people, the time and the pick-up and drop-off points. The right vehicles follow naturally from this list.

2. Know your venues

Dubai venues each have their own access rules. Large hotels and exhibition centres often have dedicated drop-off zones, security checks or time slots for coaches. Ask the venue early, and share the details with your transport partner.

3. Plan around Dubai traffic

Morning and evening peaks on Sheikh Zayed Road and Al Khail Road can double journey times. Build margins into every transfer, avoid scheduling big group movements at 8 am and 6 pm when possible, and plan the order of pick-ups to keep each route short.

4. Choose the right mix of vehicles

  • Luxury sedans or SUVs for VIPs and speakers.

  • Vans and minibuses for small groups, which are flexible and quick to load.

  • Coaches for large groups and fixed shuttle loops.

A mix usually costs less, and works better, than one vehicle type for everyone.

5. Treat VIPs separately

VIPs need a named chauffeur, a car ready before they are, and a plan B if their schedule changes. Share their flight details and mobile numbers with your transport coordinator, not only with the hotel.

6. Don't forget the heat

From May to October, waiting outside is not an option. Vehicles should be cooled before guests board, with water on board, and pick-up points should be in the shade or indoors.

7. Have one coordinator on the day

On the day, one person should see every vehicle and every guest movement, and be reachable on WhatsApp. Last-minute changes are normal; what matters is that someone handles them immediately.

8. Plan the return as carefully as the arrival

The end of an event is where most transport problems happen. Set return slots, keep vehicles in position before the event ends, and tell guests where to go.
